Features
Artist Contracts
The Artist Contracts Module allows clients to track and generate contracts utilizing a terms library and a variety of contract templates. Contracts can even be sent for electronic signature through ArtsVision. Performance and fee history for each artist is easily accessible for future reference.
Group Scheduler
Scheduling lessons, rehearsals, and coachings can be a full-time job. Make this task significantly more efficient with the Group Scheduler. This tool lets you compare individuals and spaces to find common times across all of their schedules. Once you find the right time, drag and draw the event right on the screen to automatically create the event with the people and location assigned.
iCal Feeds
Provide access to calendar events to all users with a simple iCal subscription. You determine exactly which events are published to the iCal feed, so there is never a question of missing events.
By subscribing to AV iCal feeds, your users can view the up-to-date status of your calendaring and scheduling information. ArtsVision’s iCal feed is a web based subscription open to anyone you provide access. iCal feeds are compatible with all standard calendar applications, including Outlook, Android, Google, Apple Calendar, and other web-based calendar services.
Instrument Collection
With the Instrument Collection Module, you can manage both instruments owned by the organization and instruments owned by your musicians. Store information such as owner, serial number, values, and rare materials. This module can be used to track insurance coverage and create invoices for musicians. The Instrument Collection Module also allows you to track repair and loan history.
Music Library
The Music Library Module offers a complete database of orchestral, chamber music repertoire, and opera repertoire with required instrumentation, movement, and composer information (over 9,000 works). Knowing that each librarian is as unique as their organization, the ArtsVision Music Library provides great flexibility so information is recorded and listed exactly as you want it to appear. Clients have the ability to add new works to the library as needed and change instrumentation for specific performances. The Music Library Module also allows clients to manage holdings and maintain comprehensive records of library materials. Developed in collaboration with librarians from some of the largest symphony orchestras in the United States and abroad, the ArtsVision Music Library also makes it easy to record a performance history of each work, track shelf locations, and attach documents like copies of parts, bowing lists or any other information you may want to connect to the work.
My Schedule
My Schedule allows users to see all of their assigned events in one place. This module is often used for those who do not have full access to ArtsVision, including artists and front-of-house staff. Users will be able to log in and see all of the events and specified event details for anything to which they have been assigned.
Payroll
ArtsVision provides complete tracking of attendance, including doublings, extra payments, and leave/relief, and can be configured to generate payroll reports or interface with your existing payroll system.
Planning Calendar
All season programming has to begin somewhere, which is why ArtsVision developed a flexible planning calendar to give season planning managers a space to sketch out ideas for productions, rehearsal, and performance periods and easily move dates around with a drag-and-drop feature so you can organize your season exactly the way you envision.
Using the concept of scenarios, you can create an unlimited number of versions of your seasons and compare the differences to find exactly what works. Once you have the perfect blend, make a scenario live and share your information with the rest of your organization to continue more detailed planning.
Rostering
Each Orchestra has a different way of assigning musicians to programs, and the Ensemble Rostering Module allows you to choose from a variety of different methods of creating musician rosters. The Ensemble Rostering Module allows clients to hire, roster, and track all player assignments using master lists, including master string rosters by program and individual rosters for each piece by desk and chair. The module provides complete service tracking with the ability to take attendance and generate attendance reports. Leave and availability, including planned absences, can be tracked for each player. Rehearsal schedules can be distributed via email or personalized iCal feed to ensure players know when they are needed.
Staff Web Portal
The Staff Web Portal makes staffing easy, allowing you to manage staffing needs by creating shifts associated with specific skills or roles. Commonly used for front-of-house staffing, the Staff Web Portal allows employees to see and request shifts that align with their skills or roles.
Touring
ArtsVision provides the ability to manage all aspects of touring, from travel and hotel needs and preferences to carnet and shipping. Manage the entire tour party, including orchestra personnel, soloists, guests, and administration, with itineraries and other reports.
